Ohio employer registrations: records for your first hire

Before the first payroll, ask your payroll or tax professional to identify the employer registrations and reporting duties that apply to your business and workers.

Records to gather

  • The legal business name, operating locations and existing agency accounts.
  • Planned first work and payroll dates.
  • Worker roles and locations, with classification reviewed by your adviser.
  • Agency correspondence and your payroll provider’s setup checklist.

Review each registration separately

Income-tax withholding, unemployment insurance and workers’ compensation involve different agencies. Use the current Ohio tax and employer guidance to determine which accounts and coverage apply.

Coordinate with the payroll provider

Agree who will open accounts, receive notices, submit filings and make payments. Keep confirmation numbers and agency letters in the employer’s records. A payroll service arrangement does not make missing notices harmless.

Confirm worker details before payroll

Worker classification, work location and the nature of the activity can affect obligations. Obtain advice for disputed or unclear classifications instead of relying on a job title or contractor label.

Fees and official instructions

Payroll service charges, taxes, unemployment contributions and workers’ compensation costs are separate. Use the agencies’ determinations and your provider’s written quote rather than a single startup-fee estimate.
